AI agents for business: which routine to automate and how to roll out
The short version: in small and mid-sized businesses AI agents pay off not where they "replace an employee" but where they take regular groundwork off people's plates: market monitoring, meeting minutes, draft replies to customers, content and weekly reports. Decisions and accountability stay with people, and the hours freed up are easy to estimate in advance — the calculator is below.
Where AI agents help a business
| Function | What the agent does | What stays with a person |
|---|---|---|
| Marketing | Watches competitors, researches demand, drafts posts and banners | Strategy, final sign-off |
| Sales | Drafts replies to customers from the price list and terms, summarises threads | Negotiation, discounts, sending |
| Operations | Meeting minutes, action items with owners, policies on request | Following through |
| Analytics | Crunches exports in Python, builds the report and the deck | Conclusions and decisions |
| HR and training | Answers new starters from internal documents, prepares quizzes | Mentoring, assessment |
Work out how many hours you will free up
Do not trust percentages from other companies' case studies — every company has its own routine. Plug in your own tasks and minutes. The calculator honestly subtracts the time spent checking the agent's work.
How much routine you can hand to an agent
Plug in your own numbers. The time spent checking the agent’s work is subtracted: nobody passes its output on unchecked.
Spent today
44 h 3 min
a month
Left for checking
10 h 41 min
a month
Freed up
33 h 22 min
that is 76% of the time these tasks take
The defaults are an example, not a measurement. The honest figure is your own minutes: time one task done by hand and one check of the agent’s result.
Ready agents for these tasks
Four agents from the examples catalogue that cover the calculator's rows. "Build it" opens the editor with the instructions ready.
Competitor monitor
MarketingChecks competitor websites once a week and reports what changed.
Meeting secretary
OfficeTranscribes a meeting recording and writes up the minutes with action items.
Sales assistant
SalesDrafts replies to customers from your price list and terms.
Report to slides
OfficeTurns a spreadsheet or notes into a deck for the team meeting.
What not to hand to an agent
- Final decisions with consequences: dismissals, credit, legal positions. The agent prepares the material — a person decides.
- Sending to customers unchecked, at the start. Draft and review first; move to spot checks only once quality is stable.
- Personal data without a legal basis. Do not upload customers' ID documents, phone numbers or medical histories to cloud services unless your consents and data-protection obligations (GDPR or your local law) allow it.
- Processes that do not exist. An agent automates a clear sequence of steps. If you cannot describe it in three to five steps, describe the process first.
A four-week rollout plan
One process
Pick one recurring task with a checkable result. Time how long it takes by hand.
Agent and tests
Build the agent and run three tests: a normal, an incomplete and an off-topic request. Fix the instructions until all three pass.
Working in pairs
The agent does the task, a colleague checks every result and notes what had to be fixed.
Decision
Compare "by hand" with "agent + check". If it pays off, switch to spot checks and take on the next process.
One process, not ten
AI agent, script or automation: which to choose
| Script or RPA | Automation (n8n) | AI agent | |
|---|---|---|---|
| Input | One strict format | Structured events | Any text, files, recordings |
| Decisions along the way | None | Preset conditions | Chooses its own next step |
| When something changes | Breaks | Needs reconfiguring | Often copes on its own |
| Predictability | Total | High | Needs checking |
| Best for | Moving data between systems | Wiring services together on events | Work with text, search and documents |
In practice they are combined: n8n catches the event and passes the data to the agent, the agent does the "smart" part, and a script writes the result into the system of record. Which platform does what is in the comparison of AI agent platforms. If the task is large and mixed, split it between several agents — see the chapter on multi-agent systems.
Do it yourself or buy it in
A colleague can build a single-task agent — monitoring, minutes, content — in an evening, given clear instructions. An integrator is worth it when the agent has to work inside a CRM, ERP or phone system, handle thousands of requests and meet security requirements. Starting with something simple in-house is useful either way: it tells you exactly what to commission. The basics are in the guide to AI agents.
